Your Engineering Undergraduate Society offers you many chances to get involved in external events. Listed below are guidelines to consider when applying for events & conferences.

General Guidelines for Applying to participate in Conferences:

  1. Must be a member in good standing of the EUS.
  2. Can be from any year and discipline.
  3. Although the application may ask for personal information (such as contact info), this is only intended for registration purposes.
  4. A selection committee (volunteer council members) will meet to sort through applications and choose successful delegates.
  5. Once chosen, the applicant must reply immediately to accept or decline the offer.
  6. Delegates are expected to conduct themselves in a professional & courteous manner.

  1. Must be a member in good standing of the EUS.
  2. Can be from any year and discipline. Junior Design for the UBC Engineering Competition requires you to be in first or second year, Senior Design requires you to be in third, fourth, or fifth year standing.
  3. Although the application may ask for personal information (such as contact info), this is only intended for registration purposes.
  4. A selection committee (volunteer council members) will meet to sort through applications and choose successful candidates to advance to the next competition.
  5. Once chosen, the candidates must reply promptly to accept or decline the offer.
  6. Candidates are expected to conduct themselves in a professional & courteous manner.

Each year a UBC Engineering competition is held during the fall semester. Competition categories include Junior and Senior Design each year, and Debate, Consulting Engineering, Innovative Design, and Engineering Communication based on interest. The winners of this competition go on to represent UBC at the Western Engineering Competition (WEC) and have the opportunity to compete again for a place in the Canadian Engineering Competition. Registration deadline for the UBC Engineering Competition will be advertised through the e-nEUS as well as with posters. Other information regarding registration is posted below.

Travelling Information for Conferences and Competitions:

  1. If travelling to a conference by plane, Airmiles cannot be used by the participant. If this is done, the participant will be in no way reimbursed for their travels but they still must fulfill all requirements (as listed below) for attending the conference
  2. If travelling alone, participants are responsible for finding the cheapest flights that will ensure they arrive and depart on time. Sufficient notice will be given to all delegates to ensure enough time to make cost-effective travel plans.
  3. Unless otherwise instructed, delegates will be responsible for booking their own methods of transportation and accommodation. They will be reimbursed up to a given amount upon full fulfillment of requirements below. If there is sufficient funding, delegates may be reimbursed 100%, which is up to the discretion of the VP External & VP Finance.
  4. Delegates are encouraged to look for other methods of funding including sponsorship for certain conferences – ie. NCWIE. This must be first cleared with the VP External & Conferences Coordinator before action is taken.
  5. When possible, delegates will travel together and this will be arranged by the VP External & Conferences Coordinator with recommendations from all travelling parties.

Requirements:

  1. All participants are required to submit a deposit to ensure their spots. This deposit will be clearly stated on EACH application page and will be refundable upon return from the conference. Deposits will be cashed if costs are occurred at the conference (ie. Damage and/or expenses to the hotel rooms, etc)
  2. Each delegate is required to submit a report upon return from the conference. This report details information learned, people met, experiences shared and any general information the participant would like to include. Make it fun and interesting! This report is due 2 weeks upon return from the conference and no reimbursements will be issued until report is submitted
  3. Reports are to be single-spaced and the length required depends on which conference was attended. This will be stated on the application.
